Job Summary

As the Administrative Manager, you'll be responsible for providing comprehensive administrative support and ensuring the smooth day-to-day operations of our department. You'll wear many hats, overseeing a range of tasks that include:

  • Office Management: You'll be the go-to person for all office-related matters. This includes managing office supplies, equipment, and furniture inventory, coordinating space allocation and maintenance requests, and ensuring a clean and professional work environment.
  • Facilities Management: You'll work closely with facilities personnel to address any issues related to building maintenance, security, and utilities.
  • Travel and Expense Management: You'll be responsible for streamlining the travel and expense management process for the department. This includes booking travel arrangements, processing employee expense reports, and ensuring compliance with company policies.
  • Human Resources Support: You'll assist the HR department with administrative tasks such as onboarding new employees, maintaining personnel records, and coordinating employee events.
  • Project Management: You'll manage administrative aspects of various projects, ensuring timely completion and adherence to established protocols.
  • Budget Management: You'll assist with departmental budget planning and monitoring expenditures.
  • Technology Utilization: You'll be proficient in utilizing various administrative software programs such as MS Office Suite, project management tools, and document management systems.
  • Communication and Collaboration: You'll possess strong communication skills to interact effectively with colleagues across departments, at all levels. You'll also demonstrate excellent teamwork abilities to collaborate with administrative staff and ensure efficient task completion.
  • Problem-Solving: You'll be able to identify and troubleshoot administrative issues, proactively implementing solutions to maintain smooth workflows.

Key Responsibilities:

  • Oversee all administrative functions for the department.
  • Manage office supplies, equipment, and furniture inventory.
  • Coordinate space allocation and maintenance requests.
  • Ensure a clean and professional work environment.
  • Work with facilities personnel to address building maintenance, security, and utility concerns.
  • Manage travel arrangements and process employee expense reports.
  • Assist the HR department with administrative tasks.
  • Manage administrative aspects of projects.
  • Assist with departmental budget planning and monitor expenditures.
  • Proficiently utilize relevant administrative software programs.
  • Maintain strong communication and collaboration with colleagues.
  • Identify and troubleshoot administrative issues, implementing solutions to maintain efficient workflows.
  • Adhere to company policies and procedures.

Required Skills and Qualifications:

  • Bachelor's degree in Business Administration, Management, or a related field (preferred).
  • Minimum 3-5 years of experience in an administrative role.
  • Proven experience in office management, facilities management, and travel and expense management.
  • Strong understanding of administrative principles and procedures.
  • Excellent organizational skills and the ability to prioritize tasks effectively.
  • Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Excellent problem-solving and analytical skills.
  • Ability to manage multiple tasks simultaneously and meet deadlines.
  • Strong attention to detail and accuracy.
  • Experience with administrative software programs a plus.
